Group Tour Booking & Cancellation Policy

Booking Procedure

Booking confirmation for all group tours is strictly subject to receipt of an advance payment of ₹1,000.00 per person. This advance amount is mandatory to block seats and initiate tour planning. Until the advance payment is received, the booking shall remain tentative and no seats, accommodation, or services will be reserved.
Seats for group tours are allocated strictly on a first-come, first-served basis and are confirmed only after receipt of the advance payment. Enquiries or discussions without payment do not guarantee seat availability, especially during peak seasons or high-demand travel dates.
Submission of an enquiry form, sharing traveller details, WhatsApp messages, emails, or verbal confirmations shall not be considered as a confirmed booking. A booking shall be deemed confirmed only after the required advance payment has been successfully received by Karthi Travels.
The balance tour amount, after adjustment of the advance payment, must be paid in full on or before 5 days prior to the scheduled departure date. This cut-off date is mandatory to allow finalisation of hotels, vehicles, permits, and other operational arrangements.
In case the balance tour amount is not paid within the specified cut-off date, Karthi Travels reserves the right to automatically cancel the booking without further notice. In such cases, the booking shall be treated as cancelled, and cancellation charges shall apply as per the applicable policy.
All booking confirmations, payment acknowledgements, tour updates, and operational communication shall be shared only through official email IDs or the official WhatsApp number of Karthi Travels. Customers are advised not to rely on verbal confirmations or third-party communications.

Cancellation Policy

Free cancellation till 7 days before the scheduled departure date (Travel Start Date - 7 Days) will receive a full refund, after deducting a minimal administrative charge of ₹100.00 per person. Cancellations received after this period shall attract cancellation charges as specified below.
For cancellations made 7 days or more before the departure date, the advance payment amount shall be refunded after deducting a minimal administrative and processing charge of ₹100.00 per person. The remaining amount will be refunded as per standard processing timelines.
Cancellations made within 7 days of the departure date are not eligible for any refund. In such cases, the entire advance payment of ₹1,000.00 per person shall be forfeited, irrespective of the reason for cancellation.
If a cancellation is made within 5 days of the departure date after full payment has already been completed, no refund of either the advance payment or the balance amount shall be applicable under any circumstances.
Within 5 days of the scheduled departure, tour participants are finalised and all operational arrangements such as hotel bookings, vehicle allocation, permits, and vendor payments are completed. Due to the non-recoverable nature of these arrangements, no refund can be accommodated once this stage is reached.
No refund shall be provided for no-shows, failure to report at the scheduled time, late arrivals, early departure from the tour, or non-utilisation of any services included in the tour package.
All cancellation requests must be submitted in writing via official WhatsApp or email only. Verbal, telephonic, or informal cancellation requests shall not be considered valid. The date and time of receipt of the written cancellation request will be considered for applying cancellation charges.
